Location Management
Creating and maintaining locations in an organization including adding review URLs for each review platform you would like your organization to request reviews for.
When sending review requests from Oz Rep, you send them on behalf of a location within your organization. Admin users have the ability to manage the locations of an organization.
To begin, navigate to the admin section by clicking on the Admin
button on the homepage. From there, click on the Locations
button to view all the locations in your organization.
If you think a location may already exist, try searching for its name on the location page!
Add a new location
From the Locations page, click the grey Create A New Location
button at the top of the location list, which will take you to the location creation form.
Location Name
Add here the name of the location you are creating. Be sure it is unique from the other locations in your organization so as not to get it confused with other existing locations.
Review Request Message Text
Add here the message you would like sent to your customers in the review request SMS message. This comes directly before the link that takes the customer to the Oz Rep tool and helps personalize your message to them.
Review Platforms
This is where you can configure the various review platforms for a location. The Oz Rep tool allows you to send requests to customers to leave reviews on all the review platforms enabled for a location. Currently, it supports both Google and Yelp. If you enable a review platform, you will need to provide the URL to its review page. This will allow the Oz Rep tool to direct the customer to the correct review page of the correct platform for the correct location.
Enable Google
If you choose to enable Google, you will need to provide the URL to the Google Business review page of the location you are creating.
To get your location's Google Business review page URL, first log into your Google Business Profile Manager. This is found at https://business.google.com.
Next, navigate to the business profile of the location you are trying to create.
On the Home tab, scroll until you find the section called "Get more reviews".
Click on the button that says "Share review form". This will open up an option box where you can copy the link to your location's Google Business Page.
If you do not have the option "Click to copy link", you can also share the link with yourself via email. Just click "Share via email" and enter an email address that you have access to. Once you receive the email, you will be able to copy the Google Business review page URL in the same way described below.
HEADS UP!
A proper Google Business review page URL is made up of three main parts:
1. Part One: the directive to go to a Google Business Page
2. Part Two: the unique identifier for your location
3. Part Three: the directive to go open the review page of your location's Google Business Page
You must include all three parts of the Google Business review page URL in order for it to be valid.
Copy the link taking care that you have the full URL. Paste it in the create location form under the option for Google and make sure that the box next to Enabled is checked.
And that's it! When you save your new location, Google will be enabled as a review platform for your customers to leave reviews on.
Enable Yelp
If you choose to enable Yelp, you will need to provide the URL to the Yelp business review page of the location you are creating.
To get your location's Yelp business review page URL, first navigate to your location's Yelp business page. If you do not know where to find this page, you can do a Google search for yelp your location name
. Near the top of the results should be a link to your location's Yelp business page.
Click on the link to open your location's Yelp business page.
Yelp business pages have a consistent URL structure. For example, the Yelp business page for the Young Automotive Group can be found at: https://www.yelp.com/biz/young-automotive-group-layton. You will notice that the URL begins with "https://www.yelp.com/biz". It is then followed by the name and physical location of the business being accessed: "/young-automotive-group-layton".
If you have issues finding your Yelp business page via Google search, try finding it by copying the URL structure demonstrated here.
Once you have your Yelp business page open, click on the red "Write a review" button found on the left-hand side underneath the business name and opening hour details.
This will open up the Yelp business review page for your location. You will need to copy the entire URL of this page.
Once you have coped the entire URL, paste it into the create location form in Oz Rep under the option for Yelp and make sure that the box next to Enabled is checked.
And that's it! When you save your new location, Yelp will be enabled as a review platform for your customers to leave reviews on.
Email Notification List
Add here all the email addresses that you would like to receive notifications of new bad reviews submitted to the Oz Rep tool. You can add as many as you want separated by commas.
For example: test1@test.com,test2@test.com,test3@test.com
These email address will be preferably those of admin users within your organization. Admin users have the ability to manage and respond to negative reviews caught by the Oz Rep tool under Negative Review management. You can find more information about this feature here.
After entering the emails, all emails entered will receive a notification via email whenever a customer leaves a negative review for that location in the future.
Edit a location
To begin, navigate to the admin section by clicking on the Admin
button on the homepage. From there, click on the Locations button to view all the locations in your organization.
From the list of locations, select the one you would like to edit. This will open the manage location form. From here, you can make updates to the location's name, its review request message text, its enabled review platforms, and the list of email addresses that receive notifications about bad reviews.
Remember that the location name and at least ONE enabled review platform are required.
Delete a location
To begin, navigate to the admin section by clicking on the Admin
button on the homepage. From there, click on the Locations button to view all the locations in your organization.
From the list of locations, select the one you would like to delete. This will open the manage location form. From here, scroll to the very bottom of the page where you will find the "Delete Location" button. Before deleting the location, be sure that you are aware of which location you are trying to delete. There is currently no way to restore a deleted location to the Oz Rep tool once deleted. Be extra certain that this is what you want to do before doing it.
